Before you install

What problem does this actually solve?

Your supplier invoices the goods. Freight and duty arrive later, on a different invoice, and never reach the unit figure your store holds against the variant. Every margin you read is therefore wrong in the same flattering direction. Stockkeep spreads those charges across the purchase order, folds the result into the figure already on the variant, and writes the corrected number back.

What does it ask permission for?

Four scopes: read products, read locations, read inventory, write inventory. It never asks for customers, orders, payments, checkout, discounts or staff accounts, so it cannot read them even if it tried. You see the list on the install screen before you grant anything.

Will it change my data as soon as I install it?

No. It writes only when you receive a purchase order or post a stocktake. Nothing runs on a schedule against your inventory, and nothing happens in the background. The one exception is the daily inventory-value snapshot, which only reads.

Is this a Stocky replacement?

For the costing and counting part, yes, and that is deliberately all it covers. If what you miss is demand forecasting or suggested reorders, this is not that app.

Cost

How is the new cost calculated when I receive stock?

By weighted average. The units arriving are blended with the stock already on the shelf, rather than overwriting the old figure with the newest invoice price. The average is taken against on-hand quantity, not available, so units committed to unfulfilled orders still carry their weight.

Can I use last cost instead?

Yes. Settings has a switch for weighted average or last cost, and the app home page always states which one is active.

How is freight split across the lines?

By value, or by weight, whichever you choose in Settings. By value is the default. A 640 freight bill on 1,472 of goods lands as 6.17 on one line and 13.48 on another, according to each line’s share of the goods value. It is not divided evenly between lines, and it is not divided evenly between units.

What if some products have no weight recorded?

On a by-weight allocation, a line with no weight takes no share of the freight. That is a deliberate choice rather than a silent guess: inventing a weight would quietly corrupt the cost on every other line too. Set the weight in Shopify, or switch the allocation to by value.

What if the product is not stocked at the location I am receiving into?

Stockkeep asks Shopify to stock it there first, otherwise the quantity would have nowhere to land. That is the only write it makes beyond quantity and unit cost.

Does it handle FIFO or LIFO layers?

No, and it will not. Cost layers and tax-grade valuation are a different piece of software with different obligations. If your accountant needs layers for a filing, use something built for that.

Counting

How does a stocktake work?

Pick a location and start counting. Type or scan a SKU and the line appears with its expected quantity. Enter what you actually counted. When you save, a diff report shows every variance, and one action posts all the adjustments at once instead of you editing variants one at a time.

Does a barcode scanner work?

Yes. A scanner types the SKU and sends Enter, which is exactly what the count field expects. No driver, no pairing, no configuration.

Does anything change in Shopify before I approve it?

No. Counts are saved against the stocktake and nothing reaches your inventory until you apply the adjustments.

Labels

What kind of labels does it print?

Code 128 barcodes with the SKU underneath, generated from the purchase order you just received and laid out for a label sheet. You choose how many of each line to print. Printing goes through your browser’s own print dialog and nothing is sent anywhere.

History

What is the daily snapshot?

Once a day, per location, Stockkeep records quantity, unit cost and value. Shopify keeps no history of what your stock was worth, so “what was this worth at the end of last month” has no answer until something starts writing it down.

Can it show me last year?

No. History cannot be backfilled, because the numbers to build it from no longer exist anywhere. It begins on the day you install, which is the honest reason to install sooner rather than later.

Money and data

What does it cost?

Nothing. There is no paid tier, no trial, no card and no seat limits. If a paid product ever comes out of this it will be a separate one, and everything here stays free for every store already using it.

What happens if I uninstall?

The access token is deleted immediately and the app can no longer reach your store. Shopify sends a redact request 48 hours later, and everything held for your shop is deleted then: suppliers, purchase orders, stocktakes, snapshots and cost history. The costs already written to your variants stay in Shopify, because they are yours.

Do you hold any of my customers’ data?

None. It is not in the scopes, so it never enters the app. The full detail is in the privacy policy.

Something is wrong with a number. What now?

Email support@stockkeep.app with the purchase order or stocktake, and I will look at the arithmetic myself. Cost bugs go to the front of the queue, because a costing app that is quietly wrong is worse than no costing app.
